- The Difference

Founder-led.
Not factory-built.

Most outsourcing firms put junior staff on your books and hope nobody notices. We do the opposite. Every engagement is led by a CPA or Chartered Accountant. Every deliverable goes through a two-tier review. Every client speaks directly with a partner - not a sales rep, not a coordinator.

That’s the difference between cheap labor and real expertise.

Questions? We have answers.

Straight answers on how we work, what it costs and how your data is protected.

Getting started4 questions
01What does TheCPASolutions do?

We provide outsourced bookkeeping and accounting, accounts payable and receivable, financial reporting, tax, audit support, payroll, indirect tax and virtual CFO services to CPA firms and growing businesses across the US, UK, Canada, Australia, the UAE and India. Every engagement is led by a CPA or Chartered Accountant, and every deliverable goes through a two-tier review before it reaches you.

02Do we need to move all of our accounting work to you?

No. Most clients start with one piece of work they are already behind on - a backlog, a return, an audit file section or a month-end close - usually as the free pilot. The scope only grows if the work holds up.

03How does the free pilot work?

Fourteen hours of real delivery on one live file - your file, your software, your deadlines - reviewed by a CPA or Chartered Accountant exactly as a paid engagement would be. There is no card and no contract, only a mutual NDA. We agree the scope first, it typically takes about a week, and you keep the work whether or not you continue. See how the pilot works.

04How quickly can you start?

Most pilots start within a week. For a dedicated team member, typical time to placement is five days: scope in the first two days, access and SOPs set up by day five, and daily delivery from around day six.

How we work6 questions
01Can you work in the software we already use?

Yes. We log into your QuickBooks, Xero, NetSuite, Sage, Tally, CaseWare or tax software with named user accounts and role-based permissions. We don’t move you onto a platform of ours, so your ledger stays exactly where it always was.

02Can CPA firms use you white-label?

Yes. For CPA firms the work is white-label: prepared in your software, under your file conventions, and delivered to you. Your client sees your firm’s letterhead, your portal and your partner’s signature.

03Who reviews the work?

Every deliverable is prepared, then reviewed by a CPA or Chartered Accountant before it reaches you. Tax returns also arrive with a preparer’s memo covering the positions taken and any open questions, so your reviewer spends their time on judgment rather than reconstruction.

04Will we get a dedicated team or shared staff?

Either. Project work is scoped by the return, the close or the audit section. A dedicated team member works your hours and is reachable directly - still supervised and reviewed by a CPA or CA here, and when they are on leave, cover is our problem rather than yours.

05Can you help if our books are behind?

Yes. We start with a diagnostic: we read the file before touching it and send you a written, prioritized list of what is broken within two to three business days. Then we clean up and catch up, with an opening-balance reconciliation. What matters is that the source documents - bank statements, invoices, contracts - exist.

06How do you handle time-zone differences?

Engagements are built around your office hours, with four to six hours of real working overlap rather than async-only communication.

Pricing & contracts4 questions
01How is pricing decided?

We don’t publish hourly rates, because the right figure depends on volume, jurisdictions and review intensity. We scope against your actual volume during the pilot and give you a specific figure afterwards, based on evidence. Project work is quoted as a fixed fee before it starts.

02Are there setup fees or hidden costs?

No setup, onboarding or recruitment fees. Third-party costs such as software subscriptions, filing fees and registration charges are yours and are never marked up. If your volume falls, the fee falls - and we will tell you rather than wait for you to notice.

03Are there lock-in contracts?

No. Engagements run month to month with 30 days’ notice and no penalty. The pilot has no contract at all.

04How does the cost compare with hiring in-house?

An in-house hire costs considerably more than their salary once overheads are included. Our savings calculator lets you run the comparison with your own salary figures, and we confirm the real number against observed volume during the pilot.

Security & data4 questions
01How do you protect our data?

Connections to client systems run only over an encrypted VPN, with multi-factor authentication on every system that touches client data. USB and external storage are disabled on the delivery floor, and client data is not stored on local machines. We are aligned to ISO 27001 (not certified) and compliant with GDPR and UK GDPR. See every control we run.

02Who has access to our data?

Only the people assigned to your engagement, each under their own named account with role-based permissions. Activity is logged, access is reviewed quarterly, and access is removed on the day someone leaves an engagement or the firm.

03Do you sign an NDA before seeing anything?

Yes. A mutually binding NDA - ours or yours - is signed before any system access or data transfer. We can send our standard NDA and data processing agreement before a first call, and for US tax work we operate under your firm’s Section 7216 consent framework.

04What happens to our data if we stop working together?

Very little needs unwinding. The work happens in your systems, so your ledger was always yours - we remove our access, and you keep everything produced, including the pilot work.
