We run both sides of that process inside your own systems. Bills are captured, coded, matched and queued for your approval. Customer invoices go out on the agreed cycle and are followed up on a written schedule, not whenever someone remembers.

Nothing is paid without your sign-off. We prepare the payment run and you release it - the same control you would expect from an in-house team, with a CPA or Chartered Accountant reviewing the reconciliations behind it.

  • Invoice capture & coding - Supplier bills captured from your inbox or portal, coded to the right account, cost center and tax treatment, and matched to purchase orders where you use them.
  • Approval workflow - Bills routed to the right approver in the tool you already use, with reminders so nothing sits unapproved past its due date.
  • Payment runs - Scheduled payment files prepared for your release, with due dates and early-payment discounts flagged. We never hold funds or release payments ourselves.
  • Vendor management - Supplier onboarding, statement reconciliation, duplicate checks and year-end information returns such as 1099s.
  • Customer invoicing - Invoices raised on the agreed cycle, recurring billing kept up to date, and credit notes issued with a documented reason.
  • Collections & aging - A weekly aging report, a written follow-up schedule and a collections list your team can act on, with disputed items tracked to resolution.

Do you release payments from our bank account?

No. We prepare the payment run and the bank file; you approve and release it. We never hold client funds or have payment-release authority, which keeps the control exactly where an auditor expects it.

Will you contact our customers about overdue invoices?

Only in the way you choose. We can send reminders under your company's name on a written schedule, or prepare the collections list for your own team to follow up. The tone and the escalation steps are agreed before the first reminder goes out.

Can you work with our existing approval process?

Yes. We work inside Bill.com, your accounting software's built-in approvals or whatever process you already use. Your managers do not have to learn a new tool.

How do you guard against duplicate or fraudulent payments?

Every bill is checked against existing entries and supplier records before it is queued. A change to a supplier's bank details is confirmed with the supplier through a separate channel before any payment goes to the new account.
